Episode 556: Rethinking the PMO: Identity, Design & What's Next

Play audio-only episode | Play on YouTube | Play on Spotify

Episode Summary

Sara Gallagher, President of The Persimmon Group and author of the LinkedIn newsletter Big Dumb Questions, joins Cornelius Fichtner to answer the uncomfortable questions most PMO leaders avoid. The conversation follows four threads: PMO identity, design, accountability, and the future. It opens with the biggest question of all: are PMOs dying? Sara takes an optimistic view, with caveats. She explains that traditional PMOs are built on standardization, which raises weaker projects to a certain ceiling but also flattens excellent, tailored work down to the law of averages. She then paints a concrete picture of what comes next: project managers with robust knowledge bases and AI agents that draft synthesized status reports, simulate steering committee members such as a CFO, and hand results to a PMO agent that standardizes everything for portfolio roll-up. The result combines hyper-customized stakeholder communication with standardization only where it is truly needed, and it frees the PMO to coach project managers in sophisticated stakeholder management and risk practices.

The discussion then turns to who the PMO actually serves. Sara cites PMI's PMO Strategic Partners Report, in which executives rank customer relationship management fourth among PMO priorities while PMO leaders rank it tenth, a snapshot of PMOs designing themselves for executives while neglecting the lateral stakeholders who make projects succeed. She and Cornelius also examine PMO rebrands (value delivery office, anyone?) and agree that a new name only works when the services genuinely change; otherwise the PMO is simply putting itself in witness protection. From there, the two examine why we design PMOs for stability in a world where disruption is the sentence, not the punctuation, how governance becomes a tax on momentum, and how non-decisions quietly consume schedules. Sara shares a telecom program where slow steering committee decisions added at least two months of delay, and explains how a 72-hour decision agreement with an escalation path restored speed.

The final threads tackle honesty and the future. Sara argues that PMOs are not ready for radical transparency, warns that projects jumping from red to green without passing through yellow destroy credibility, and cautions that AI products are about to promise executives more honest reporting than their own PMs deliver. On the question of whether AI is rotting our PMO brains, she critiques the viral MIT study, shares her own guardrails for preserving original thought, and recommends a crawl, walk, run approach: diagnose before you prescribe, find the next right thing, learn from it, and keep asking big dumb questions.

In This Episode, You Will Learn:

  • Are PMOs dying? - Why standardization flattens projects to the law of averages, and how AI agents can deliver both hyper-customized status reporting and standardization where required.
  • Who the PMO is actually for - Why executives and PMO leaders rank customer relationship management so differently, and why designing only for executives ultimately hurts project performance.
  • The governance tax and decision latency - A real telecom program story showing how slow decisions added two months of delay, plus two practical ways to speed up executive decision making.
  • Radical transparency - Why status reports that keep projects green until forced red destroy PMO credibility, and how to make honesty safe, valuable, and easy.
  • AI judgment for PMOs - The three capabilities PMOs must build to stay relevant, the real constraints slowing AI adoption, and why this is a crawl, walk, run situation.
